Everything between “my AC stopped” and a booked job
LeadPilot handles website inquiries today. Here is exactly what is included.
Website assistant
A chat window on your site that handles the first conversation the way your best dispatcher would.
- Qualifies every request
- Asks for the service, a short description, the ZIP code, and urgency on a four-level scale: emergency, within 24 hours, this week, flexible. Then the street address, which visitors can skip.
- Answers only from what you approve
- Uses your services, approved pricing statements and FAQs. Answers are checked against those sources before a visitor sees them; anything unverified is passed to your team instead.
- Safety first
- Gas smells, carbon monoxide alarms, smoke and sparking trigger instructions to leave and call 911, before anything else.
- Follows your emergency policy
- Share your emergency line, or say clearly that you don't offer emergency service. Either way the request is captured and flagged.
- Records consent
- Asks permission before your team calls or texts, and stores the exact wording the visitor agreed to.
- Never strands a visitor
- If the AI provider is slow or down, a built-in assistant takes over. A plain contact form is always available.
Lead inbox
Everything your office needs to follow up, in one list.
- Search and filters
- Find leads by name, phone, address, ZIP, service or notes. Filter by status, urgency and assignee.
- Statuses that match your process
- New, contacted, qualified, booking requested, booked, closed, not qualified. Each change is time-stamped.
- Full conversation history
- Read exactly what the customer said, including follow-up messages and repeat inquiries.
- Duplicate protection
- A second inquiry from the same phone number joins the existing open lead instead of creating a new one.
- Assignments, notes, next actions
- Assign a teammate, set the next step with a due time, and keep internal notes.
- CSV export
- Download your leads any time. Your data stays yours.
Bookings and alerts
Clear about what's requested and what's confirmed.
- Visit and callback requests
- Visitors pick a preferred window. Requests stay requested until someone on your team confirms a time.
- Appointment statuses
- Requested, pending, confirmed, canceled and completed, each visible on the lead and in the appointments list.
- Email alerts
- New leads, urgent inquiries, booking requests, conversations that need a person, and leads still waiting on follow-up.
- Real delivery status
- Each alert records whether the email provider accepted it. Nothing is shown as sent unless it was.
Reporting
Numbers you can defend to a business partner.
- Lead volume and sources
- Daily volume, where leads came from, and which services people ask for.
- Response time
- Median time from a lead arriving to your team's first follow-up.
- Conversion
- Share of leads that reach a confirmed booking, by the period they arrived.
- Revenue, labeled honestly
- Recorded revenue you enter, estimated value from your typical job values, and the part that came through LeadPilot, shown separately.

PlannedMissed-call text-back, AI phone answering, calendar sync and CRM integrations are on the roadmap. They aren't part of the product today, and texting and calling features will ship with consent and opt-out handling built in.
